Discounted Hotel Booking Instructions

Discounted rooms have been negotiated for this event.  In order to secure these discounted rooms, you must book your
reservations through the South Shore CVA Online Housing system or call a SSCVA representative directly (info below). 
Please do not call hotels directly because all rooms are blocked through the SSCVA and trying to book directly with a hotel
could cause double booking issues.  If a hotel is not listed on the SSCVA Online Housing site, it has not been approved by
the CVA or NSA for a variety of reasons.  When booking your rooms, please make sure you read the hotel rules and
regulations thoroughly so you have a clear understanding of the hotel process.

To view hotel blocks:

·         Enter check-in/out dates (3-night minimum) and click on “next”.

·         Click on “Find Room” to view room types & rates.

·         Send email to: housing@southshorecva.com or call Barb at (866) 481-5253 – please include hotel name &
    specific rooms being requested.

·         Booking instructions will be emailed to the main team contact & should then be forwarded to the entire team.

·         Once the block is enabled, team families will be able to access the block by using a specific group code.
    Each family can reserve their room from the block by using their own personal information.  An email
    confirmation will follow within 48 hours.

·         Each team will have one week to book their blocked rooms.

·         A team booking report can be requested before the booking deadline to assure all families have reserved their room.

·         Click on link shown above.

·         Enter correct check-in/out dates (3-night minimum) and click on “next”.

·         Once you’ve chosen a hotel, click on “next” then enter the number of rooms needed for each room type as well
    as number of adults & children in each room & click on “add room”.

·         If more room types are needed, input necessary information & click “add room” again.  Otherwise, click on “next”.

·         Input guest names for each room.  There is also a “guest email” area where you can list each family’s email address
    so they also receive the confirmation message.

·         Finish remaining steps & submit reservation.

·         Confirmation emails will be sent within 48 hours & should be forwarded to each individual family.  Each family will
    then need to click on “request change” from their email confirmation in order to switch the credit card information.
